Position: Interim Restorative School Culture Program Coordinator 
Term: Three-month temporary contract, to start immediately
Reports to: Executive Director 
Hours: Part-time, up to 20 hrs a week during school hours. Must be available Tuesday, Wednesday and Thursdays. 
Pay: $25/hour

Location: Hybrid. Will require some travel to Rimbey, Lacombe, Alix, Bentley, Penhold and Red Deer.

Position Purpose 

The Interim Restorative School Culture Program Coordinator provides short-term operational coordination for RRDRJ’s Restorative School Culture (RSC) program during a staff leave. 

The position is responsible for maintaining the day-to-day coordination and administrative systems that allow schools, facilitators, and program leadership to work effectively together. 

This is a program coordination role, not a restorative practitioner position. The successful candidate will not be expected to independently facilitate restorative conferences, determine restorative approaches, or manage complex student situations. 

The position supports continuity of service by ensuring that schedules, communication, facilitator assignments, documentation, activity tracking, and program data remain current and organized. 

Key Responsibilities 

1. School and Program Communication 
  • Maintain regular operational communication with participating school administrators and designated school contacts. 
  • Respond to routine program coordination questions and direct practice-related or complex concerns to the Executive Director. 
  • Ensure schools know who to contact regarding scheduling and program logistics. 
  • Maintain accurate contact information for participating schools and key staff. 
2. Facilitator Scheduling and Coordination 
  • Maintain the RSC facilitator schedule and availability. 
  • Coordinate facilitator assignments for Tier 2 restorative work under the direction of the Executive Director. 
  • Schedule meetings, circles, restorative activities, and other program commitments. 
  • Ensure facilitators receive the information, dates, plans, and materials required for their assigned work. 
  • Follow up with facilitators when information or documentation is outstanding. 
3. Circle and Restorative Activity Coordination 
  • Ensure facilitators have access to applicable circle plans, activity plans, and relevant program information. 
  • Confirm that scheduled activities are occurring as planned. 
  • Monitor completion of assigned action-plan follow-up. 
  • Flag missed activities, emerging concerns, or gaps to the Executive Director. 
4. Program Tracking and Documentation 
  • Maintain the RSC activity tracker and related program records. 
  • Monitor completion of required documentation. 
  • Ensure vibe checks and other program feedback are submitted and recorded. 
  • Follow up on missing or incomplete information. 
  • Maintain organized records so program information can be readily accessed for reporting and evaluation. 
5. Grant and Program Data 
  • Maintain current program statistics and activity data. 
  • Ensure required information is entered into the appropriate tracking systems. 
  • Compile data for the Executive Director for grant reporting and program evaluation. 
  • Identify missing or inconsistent data and follow up with the appropriate staff or facilitator. 
  • Support the preparation of routine program reports. 
6. Administrative Support 
  • Maintain shared calendars, meeting invitations, Teams channels, and other program coordination tools as required. 
  • Prepare routine correspondence and program communications. 
  • Organize program documents and templates. 
  • Support the Executive Director with routine RSC coordination tasks as assigned. 

Role Boundaries 

The Interim RSC Program Coordinator does not: 

  • independently facilitate restorative conferences; 
  • independently determine an appropriate restorative response to a complex situation; 
  • provide clinical, counselling, or therapeutic services; 
  • manage high-risk or complex student situations; 
  • make decisions regarding restorative practice methodology without direction from qualified RRDRJ leadership; 
  • replace the role of trained restorative justice facilitators. 

Practice decisions and complex matters remain with the Executive Director and/or appropriately trained RRDRJ facilitators. 

Qualifications and Experience 

The ideal candidate will have experience in one or more of the following: 

  • school administration or school support; 
  • nonprofit program coordination; 
  • project coordination; 
  • education support; 
  • administrative coordination; 
  • community programming; 
  • scheduling and logistics. 

Experience working with schools, youth-serving organizations, or community programs is an asset. 

Restorative justice training or experience is an asset but is not required. 

Skills and Competencies 

The successful candidate will demonstrate: 

  • exceptional organization and follow-through; 
  • strong written and verbal communication skills; 
  • confidence communicating with school administrators and professionals; 
  • strong scheduling and coordination skills; 
  • proficiency with Microsoft Office, Teams, Outlook, Excel and/or similar systems; 
  • ability to maintain accurate records and trackers; 
  • attention to detail; 
  • ability to identify missing information and follow up appropriately; 
  • discretion and professionalism when working with sensitive program information; 
  • ability to work independently; 
  • ability to prioritize competing deadlines; 
  • comfort working within established procedures and escalating issues when appropriate. 

What Success Looks Like 

By the end of the three-month contract: 

  • schools have a clear and reliable operational contact; 
  • facilitators know where and when they are expected to work; 
  • Tier 2 assignments are organized and communicated; 
  • facilitators have the plans and information they need; 
  • required documentation and vibe checks are being submitted; 
  • the RSC activity tracker is current; 
  • grant-related program data is accurate and up to date; 
  • outstanding tasks are identified and followed up; 
  • the Executive Director is alerted to issues requiring leadership or restorative-practice intervention  

Organizational Context 

RRDRJ’s Restorative School Culture work is designed to support schools in developing and implementing restorative practices.

This temporary position provides an opportunity to maintain RSC program continuity while also evaluating the operational coordination capacity required to support the program over the longer term. 

Term 

This is a temporary three-month position established to provide operational continuity during a staff leave. Continuation beyond the contract period is not guaranteed.
